How to Set Up Your Booking System in Fiko
Configure resources, services, weekly availability, and exceptions so customers can book appointments directly inside WhatsApp, Instagram, or Telegram.

Before you start
Prerequisites
- •Fiko account with at least one channel connected (Instagram, WhatsApp, or Telegram)
- •A list of services you offer with prices and durations

Step by step
Follow these steps in order

Define your services
In Products & Services → New: add each service with title, price, duration (e.g., '60 min'), and description. Mark type as 'service'. These become bookable items.

Define your resources
In Booking → Resources: add each staff member, room, or piece of equipment. Each resource has a name, type, and optional capacity (for tables, group classes).

Set service-resource mapping
For each service, link the resources that can deliver it. For example, 'Haircut' is performed by 'Barber Mehmet' and 'Barber Ali' but not by 'Aesthetician Aylin'.

Set weekly availability per resource
For each resource, define their weekly schedule. Monday: 9am-7pm. Tuesday: 9am-7pm. Sunday: closed. Set buffer times (e.g., 10 min after each appointment).

Add exceptions
Booking → Exceptions: mark closed days (public holidays, vacation) and custom hours (special events). These hide from customer booking flow automatically.

Configure reminders
Booking → Reminders: enable 24-hour and 1-hour reminders. Customize the message text. Reminders go out on the same channel the customer booked through.

(Optional) Set deposit policy
Booking → Policies → Deposit: enable for customers with reliability score below a threshold (e.g., 0.7). Customer pays the deposit via a secure payment link before booking confirms.

(Optional) Connect Google Calendar
Integrations → Google Calendar → Connect. Each resource can have their own calendar. Confirmed bookings create events automatically. Cancellations update in real-time.

Test the full booking flow
Send a DM to your business from a personal account: 'I want to book a haircut.' Follow through the entire flow as a customer. Verify confirmation, calendar event, and reminders.

Common questions
The booking flow only shows available time slots. If no slots match, the AI politely informs the customer and offers the closest alternative — never a time when you're closed.
Native time-based pricing isn't a 2026 feature, but you can create separate services (e.g., 'Haircut Standard' and 'Haircut Weekend Premium') with different prices. Customers pick the right one based on the time slot.
After the appointment time passes by a configurable margin (default 15 min) without manual check-in, Fiko marks it as a probable no-show. You can override manually if the customer was late.
