WhatsApp Appointment Booking — Setup Guide for SMB

Step-by-step guide to setting up an in-chat appointment booking system on WhatsApp. From Cloud API setup to first booking, with no developer needed.

Phone calls during service hours are a problem. So is missing bookings because customers message late at night. WhatsApp appointment booking solves both — if you set it up correctly.

This guide walks through the entire setup, end to end. By the time you finish, you'll have a working booking flow inside WhatsApp.

Why WhatsApp specifically?

WhatsApp has 2+ billion monthly active users, and in many regions (Türkiye, MENA, Latin America, Southeast Asia) it's the dominant messaging app for business communication. For a salon, clinic, or restaurant, having booking on WhatsApp is non-negotiable in 2026.

Three reasons WhatsApp wins for booking:

  1. Customers already use it — no app download, no website redirect
  2. 24-hour message window — replies are free if the customer messages first
  3. Templates for follow-up — automated reminders work through approved templates

Prerequisites

Before you start:

  • Meta Business account (free at business.facebook.com)
  • A phone number not used on personal WhatsApp recently — Meta enforces this
  • Business documentation for Meta verification (registration, address)
  • 2 hours for setup (first time)

If you're already using WhatsApp Business App on a number, you can migrate it — but you can't use both at the same time.

Setup walkthrough — 8 steps

Sign up for Fiko

Go to app.fiko.net and start the free trial. No credit card required.

Connect WhatsApp Cloud API

In Fiko: Channels → WhatsApp → Connect. Meta's embedded signup flow opens. Sign in to your Meta Business account.

Add and verify your phone number

Inside the embedded signup, add a phone number to your WhatsApp Business Account (WABA). Verify via SMS or voice call. Keep this number for business use only.

Complete business verification (optional but recommended)

Upload business registration, address proof, and identity documents. Approval takes 1-3 days. Without this, your messaging is rate-limited to 1,000 conversations/day.

Add your services to the catalog

In Fiko: Products → New. Add each service with title, price, duration, and description. Mark type as "service". For a salon: Haircut $30 / 45min, Hair coloring $80 / 90min, etc.

Set up bookable resources

Booking → Resources → New. Add each staff member, room, or piece of equipment. Each has its own weekly schedule.

Define weekly availability

For each resource, set their working hours. Mon: 9-7, Tue: 9-7, Sun: closed, etc. Add buffer time between appointments (e.g., 10 min).

Test the full booking flow

From another WhatsApp account, message your business number: "I want to book a haircut." Walk through the entire flow. Check confirmation message, calendar sync, and reminders.

What a booking conversation looks like

Here's a real flow on WhatsApp:

Customer: I want to book a haircut

Bot: Great! I can help. Which barber would you like?
     1. Mehmet
     2. Ali
     3. No preference

Customer: 1

Bot: Mehmet is available:
     - Tomorrow 11am
     - Tomorrow 3pm
     - Friday 10am

Customer: Tomorrow 11am

Bot: Confirming: Haircut with Mehmet, Tomorrow 11am, $30.
     Confirmation code: BRB-A7K

     I'll send a reminder 1 hour before.
     To cancel, reply "cancel BRB-A7K".

The whole flow takes the customer 30 seconds. No phone call, no website, no app.

Common setup pitfalls

  • Don't skip business verification — limits stay at 1,000/day until verified
  • Don't forget templates — for follow-up messages outside the 24-hour window, you need approved templates (24-48 hours for Meta approval)
  • Don't auto-cancel without warning — give customers 1-2 reminder messages before marking as no-show

Pricing — what booking costs

WhatsApp Cloud API itself has free user-initiated conversations (up to 1,000/month) and per-message charges for business-initiated. Fiko adds a flat $15/month for the platform.

Total monthly cost example for a busy salon:

  • Fiko: $15
  • WhatsApp Cloud API: ~$0 (most customers initiate within free tier)
  • Total: $15/month

Compare this to a missed weekly booking ($30-$80) and the payback is days, not months.

Frequently Asked Questions

Can my existing WhatsApp Business App number be moved to Cloud API?

Yes, but you must delete the number from WhatsApp Business App first. Once moved to Cloud API, you cannot use Business App again on that number.

What if a customer cancels at the last minute?

Customer sends 'cancel CONF-CODE'. The slot reopens for booking immediately. You can set cancellation policies (e.g., no refund if canceled less than 2 hours before).

Can multiple staff share the same WhatsApp number?

Yes. The booking system handles multiple resources behind one phone number. Customers select which staff member during booking.

Does Fiko send reminders on WhatsApp automatically?

Yes. Reminders are sent 24 hours and 1 hour before each appointment (configurable). Reminders use pre-approved templates so they work outside the 24-hour customer window.
